HVAC filter changes and service logs: what to track and why

Your HVAC system is the most expensive thing to replace in most homes, and the cheapest to protect. Two habits — regular filter changes and a written service log — do most of the protecting.

How often to change the filter

  • Basic 1-inch filters: every 1–3 months.
  • Thicker 4–5-inch media filters: every 6–12 months.
  • More often with pets, allergies, or during heavy heating/cooling season.
  • A clogged filter is the most common cause of an HVAC system working too hard and failing early.

What a service log should capture

  • The date and what was done at each professional service (usually spring for cooling, fall for heating).
  • Filter changes, with the size and type so reordering is easy.
  • Any parts replaced and the technician or company.
  • Refrigerant top-ups or recurring issues — a pattern is a warning sign.

Why the log matters

Many HVAC warranties require proof of regular maintenance to stay valid — a service log is exactly that proof. It also helps a technician diagnose faster, and it tells you honestly when a system nearing the end of its life is costing more to keep than to replace.
